Job Description
As a Human Resources Assistant, you will work in a collaborative environment dedicated to serving employees, applicants, and departments across the City while supporting recruitment, onboarding, records management, training coordination, and general administrative functions.
What You'll Do
- Provide administrative support to Human Resources staff and department leadership.
- Operate a multi line phone system and assist employees, applicants, and the public with inquiries.
- Assist with onboarding activities, including background screening paperwork, fingerprint processing, and employee badge preparation.
- Respond to routine questions regarding employment, benefits, policies, and hiring processes.
- Process invoices and prepare purchase requisitions.
- Maintain confidential personnel files and HR records with a high degree of accuracy.
- Coordinate logistics for employee training programs, meetings, benefits enrollment events, and employee recognition activities.
- Track training attendance and prepare certificates and related documentation.
- Maintain office supplies and coordinate department purchasing needs.
- Process employment verification requests.
- Assist with records requests, subpoenas, and Freedom of Information Act (FOIA) responses.
- Perform other administrative and human resources related duties as assigned.

- Ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent organizational skills and attention to detail.
- Ability to prioritize multiple tasks and meet deadlines in a fast paced environment.
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
- Ability to learn and utilize HR systems such as PeopleSoft, Laserfiche, MUNIS, and applicant tracking systems.
- Experience providing administrative, clerical, or office support, preferably in a Human Resources environment.
