Position Summary
Confidential advisor to both the Board of Trustees and the Chief of Staff/Vice President for Planning and Strategy. Manage administrative operations for both functions ensuring efficiency, organization, and attention to detail. Act as a liaison to the president, vice presidents and their staff, university departments, and external agencies interacting with both the Board of Trustees and the Chief of Staff/Vice President for Planning and StrategySCHEDULE:
Monday - Friday; 9am - 5pm Required to attend all Board of Trustee meetings and Board of Trustee Committee meetings, which are typically evening hours after 5pm.
Essential Duties
Board of Trustees:* Provide administrative support to the Board of Trustees - schedule meetings, draft meeting agendas in collaboration with the President and Cabinet, proofread and distribute meeting materials to Trustee members and appropriate staff in a timely manner, share relevant campus communications with the Board of Trustees, and maintain accurate files.* Communicate regularly with all Board of Trustee members about upcoming meetings and events, committee responsibilities, and other relevant campus information.* Collaborate with the President and Cabinet members to coordinate the assemblance of all Board of Trustees meeting materials and presentations for committee and full Board of Trustee meetings.* Attend all Board of Trustee and committee meetings and manage all logistical elements - room reservations and set-up, catering, technology, meeting attendees, ensure a quorum, and transcribe all meeting minutes.* Maintain the Board of Trustees web site in collaboration with Web Services staff - post meeting notices, minutes, and relevant bylaws; ensure all Trustees photos and biographical information is current.* Track Trustee terms and coordinate with the Department of Higher Education on Trustee appointments and reappointments; support the President through the Trustee nomination process; draft letters and recommendations on behalf of the President and Board Chair.* Collaborate with Information Technology and manage the SharePoint Board of Trustees site to electronically manage meeting materials.* Coordinate the Trustee Orientation and with President and Board Chair - prepare Trustee Orientation binders, assist with Trustee onboarding, and track all Department of Higher Education mandatory Trustee training requirements.* Manage the Honorary Degree nomination process - support the Honorary Degree Committee meetings, seek nominations via communications to the campus, draft relevant letters for Board approval.* Perform related work and projects, as assigned.Chief of Staff/Vice President for Planning and Strategy:* Provide administrative support to the Chief of Staff - coordinate and manage the schedule of the vice president, maintain a high degree of confidentiality in all matters related to the office of the President and the Board of Trustees, manage and coordinate inquiries and matters referred to the vice president, distribute correspondence to the Board of Trustees and vice presidents, and maintain accurate files.* Support Executive Council meetings by preparing agendas, attending meetings (when necessary), maintain meeting documentation, and coordinate the reporting of divisional and interdivisional mid-year and end-of-year goals.* Serve as a project manager for strategic planning and strategic planning initiatives led by the Chief of Staff/Vice President for Planning and Strategy.* Perform related work and projects, as assigned.Office of the President:* Support the President's Office by attending and supporting institutional events, including night and weekend events, as required.* Proofread office documents, including but not limited to, Presidential communications, commencement programs, scripts, honorary degrees and distinguished service awards.* Assist with the dissemination of Presidential Communications as needed.* Manage the Half-Staff Notifications from the Office of the Governor of the Commonwealth of Massachusetts.* Perform related work and projects, as assigned.Required Qualifications
* Academic credentials and/or experience suitable to fulfill position responsibilities.* Demonstrated ability to lead and manage projects effectively.* Proven track record of working in an environment demanding exceptional levels of confidentiality.* Ability to work autonomously and in a team environment.* Demonstrated ability to build strong relationships with senior stakeholders and provide upward feedback to enhance decision-making.* Ability to work with a diversity of people, thought & perspective, and practices.* Ability to work under deadlines and adapt to changing priorities.* Proficient with Microsoft Office Suite and other technological applications.* Excellent verbal and written communication skills.* Demonstrable organization skills and strong attention to detail.Work Environment
